Hiring New Employees into Non-Exempt Positions
- Please print a New Hire Checklist and attach a completed copy to the forms. Forward the entire packet to the recruiter in Recruitment and Staffing handling the position.
- Use the Education/Experience Verification form to document that the new employee meets the minimum years of experience required for the position.
- W-4
- I-9 Form (Federal law requires that this form be completed by the employee within three days of his or her start date)
- Direct Deposit Form
- Loyalty Oath (4-in-1)
- Emergency Notification
- Special Status Letters (as appropriate):
Time Limited (see definition of Time Limited below)
Temporary
- TEAMS non-exempt employees are required to attend new employee orientation.
- OPS employees may be referred to the OPS Employment web page for more information regarding their appointments.
- If the employee is a non-resident alien, two additional documents are needed:
- Copy of Foreign National Tax Form that has been faxed to Finance and Accounting
- Copy of Visa documents, such as IAP66 for J-1 visas, I20 for F-1 visas, employment authorization card, etc.
- If a health assessment is required, it must be completed and approved prior to the employee's first day of work.
- Application to be signed by new hire.
To ensure your new employee is paid in a timely manner, please all payroll documents to Recruitment and Staffing no later than the deadline date listed in "Personnel" column of the Payroll Deadline Schedule.

- Letter of Offer -- TEAMS Exempt

For TEAMS and USPS Employees

For TEAMS Employees Only (Having Completed Six Months of Service)
- Notice of Appointment (or contract)--Dates of appointment should be for one year.
- Your Recruitment and Staffing recruiter will check the employee's personnel file to ensure all other forms are already on file.

Time Limited
An appointment to a position funded by contract and grant, auxiliaries, or local funds, as appropriate, for a particular project, enterprise, or specified period. Such designation must be made to the position at the time of recruitment. A time-limited position shall have the same rights as a position with a regular appointment modifier, except such position shall not have rights provided for layoff, recall, and notice of nonreappointment.
