studentsSpecial deadlines for leave, class and comp transactions this month

During the hustle and bustle of the holiday season and end-of-year transactions, it’s easy to lose track of important deadlines that vary from the routine schedule. Please note that special deadlines have been established for leave entry and some hiring procedures this month.

Leave Administration encourages early time and leave entry throughout the holiday season. Please refer to the all-employee edition of the InfoGator for a helpful leave-entry and approval timeline.

Departments that plan to advertise a vacant position during December holidays will wish to plan ahead as well. Requests for new positions, approvals for updated positions, or updates due to FTE or department changes should be submitted to Classification and Compensation by 12 noon on December 20.  This will allow a day to review the request and another day for the update to process through GatorJobs.  

Reclassifications must be submitted to Classification and Compensation by 5 p.m. on December 10 to receive a December 24 effective date. Reclassifications received after December 10 will be effective January 7, 2011.

Due to the accelerated payroll schedule, pay changes for Special Pay Increases approved between December 16 and 23 will be processed retroactively on the payroll ending January 6, 2011.

Vacation leave conversion slated for January 6

This year, vacation leave conversion will take place at the end of the December 24, 2010, to January 6, 2011, pay period. If a TEAMS or vacation-accruing Academic Personnel employee’s vacation leave balance exceeds 480 hours or a USPS employee’s vacation balance exceeds 240 hours at the end of that pay period, the excess vacation leave hours will be converted to sick leave.

Please note that the vacation leave accrual for the December 24, 2010, to January 6, 2011, pay period also will be included in the conversion. The myUFL navigation to view your most recent vacation leave balance is as follows: My Self Service > Payroll and Compensation > View Leave History. Any vacation leave taken on or before January 6, 2011, must be reported in the Weekly Elapsed screen before the January 6, 2011, conversion. Vacation leave taken after January 6, 2011, should be reported after the conversion occurs.

Enrollment underway for spring and summer GatorGradCare coverage

The enrollment period for spring-only or spring/summer coverage under GatorGradCare is open. The spring-only and spring/summer coverage options are for students who did not enroll in annual or fall/spring coverage previously for the 2010-2011 academic year.

Students interested in spring-only or spring/summer coverage must log on to www.gatorgradcare.com to complete the enrollment process before January 30, 2011. Students can also adjust their current and dependent coverage during this enrollment period.  To make changes to current or dependent coverage, students can call the GA Benefits Office at (352) 392-0003 before January 30, 2011.

Please note:  Even if a graduate student is unsure about his or her graduate assistantship status, he or she must complete the GatorGradCare enrollment by the January 30 deadline. Eligible students are strongly encouraged to elect the spring/summer enrollment option. With this option, the student’s summer coverage can be based on his or her spring eligibility. This means as long as the student meets the eligibility criteria for GatorGradCare in the spring, he or she can maintain continuous coverage throughout the summer. This is only the case with the spring/summer option.

Material and Supply Fee and Equipment Use Fee applications due in February

Applications to establish or adjust Material and Supply Fees and Equipment Use Fees for the Summer 2011 and Fall 2011 semesters are now being accepted. All departmental requests should be submitted no later than February 11, 2011; deans’ approvals are due February 18, 2011.
