Learn more about the myUF Market: an overview session

Purchasing Services, in conjunction with UF Training and Organizational Development, has introduced overview sessions on the University of Florida’s new myUF Market requisitioning system. Scheduled to “go live” later this spring, myUF Market will provide a user-friendly online marketplace designed to streamline the way departments purchase their goods and services. Employees responsible for designing department purchasing processes are urged to attend an overview session to learn more. To register in the myUFL system, employees should navigate to My Self Service > Training and Development > Request Training Enrollment and search for PST072 myUF Market Overview.

The adoption of myUF Market represents the university’s ongoing commitment to business process improvement. Implementation of this system will simplify departments’ identification and use of contracts that result in attaining best value—reducing cost without sacrificing quality —for the university and its departments. The new system offers functionality not available in the current system and will replace the existing myUFL eProcurement requisitioning module.

The myUF Market overview sessions will provide a glimpse into the new system and discuss important business process improvements such as use of electronic catalogs, using PCards in myUF Market, roles and responsibilities of those who create and approve requisitions, requisition workflow, and ease of data retrieval.

Registration for the myUF Market overview sessions is available now. Sessions begin March 17 and run through April 29. Employee Education Program now accepting applications for summer semesters

The Employee Education Program (EEP) is a popular benefit available to eligible UF faculty and staff. The program provides tuition assistance for up to six credit hours of eligible college-level courses per semester. In the summer, a combined total of six credits taken during semesters A, B, and C may be covered by the EEP. Employees interested in participating in the EEP during the summer semesters should register and complete their applications by the following deadlines:

UF students:
Summer A/C 2009: EEP Registration Period: May 7 – May 12, 2009 Registration after May 12, 2009 is subject to a $100 late registration fee. Applications Due: 5:00 p.m. on May 13, 2009
Summer B 2009: EEP Registration Period: June 25 – June 30, 2009 Registration after June 30, 2009 is subject to a $100 late registration fee.
Applications Due: 5:00 p.m. on July 1, 2009.

Santa Fe College (SFC) students:
Summer/Summer A 2009: Applications Due: April 30, 2009
If you register on or before this date, your EEP application is due to the SFC Cashier’s Office by 4:00 p.m. on April 30, 2009. You may still register after the date listed above; however, the EEP application must be turned in by 4:00 p.m. on the next business day after registering.
Summer B 2009: Applications Due: June 30, 2009
If you register on or before this date, your EEP application is due to the SFC Cashier’s Office by 4:00 p.m. on June 30, 2009. You may still register after the early registration date listed above; however, the EEP application must be turned in by 4:00 p.m. the next business day after registering.

Other institutions:
Students attending other institutions should register before the registration deadlines at their approved institutions. Completed applications for the summer 2009 semesters must be turned in by Friday, April 10, 2009, to Jamie Cooke, Education Coordinator, by fax at (352) 392-1055 or via email at jamie-cooke@ufl.edu.

Important reminder for UF supervisors: It's time to complete staff performance appraisals

It is time to issue annual performance appraisals for USPS and TEAMS employees. The evaluation period for all USPS and TEAMS employees is from March 1, 2008, through February 28, 2009, with appraisals completed by March 31, 2009.

A few important reminders:

  • Include UFID numbers and employees' complete and correct full names.
  • Use the online Performance Appraisal form for all non-exempt TEAMS and all USPS employees and a narrative document for exempt TEAMS employees.
  • Employees must date documents when signing or indicate that they do not wish to sign.
  • Appraisal ratings on forms must be in whole numbers.
  • If an appraisal results in a less than satisfactory rating—an overall rating of "minimally achieves" or "below performance standards"—please contact the appropriate employee relations office prior to presenting to the employee.
  • The completed appraisal must be issued to the employee, signed, and dated by March 31, 2009.
  • Employees in their probationary period of employment or who have been employed for fewer than 60 days do not need to be appraised.

2008 flexible spending account claim forms due by April 15

Employees enrolled in a medical or dependent care reimbursement account for the 2008 plan year must submit claims by April 15, 2009. New this year, a grace period now allows extra time to spend money set aside in your 2008 flexible spending account (FSA). For each calendar year, the new grace period will run from January 1 through March 15. Be aware that expenses must be incurred by March 15 or the IRS "use-it-or-lose-it" rule will still apply.

FSA reimbursement claim forms can be found on either the state or People First websites. Please follow the instructions found on the form.

Helpful hints for faster service:

  • Include your People First user ID number
  • Fax all documents together
  • Use white paper only
  • Do not highlight items on the original, as this makes the faxed text difficult to read
  • Retain the confirmation notice for your records

Completed forms can be mailed to the address listed on the second page of the reimbursement form or faxed using the People First toll-free fax line at 1-800-643-0321. Be sure to keep copies of the documents submitted for reimbursement, mail dates and/or certified mail receipts, or fax confirmation receipts for your records. Information about your contributions or the status of your claims may also be viewed online. To access your benefits information, a user ID and password are needed. If you have misplaced this information, contact the People First Service Center at 1-866-663-4735 for assistance in resetting your ID and password. Nominations are being accepted for the UF Office of Sustainability Sustainable Solutions Awards Program

If you know of an individual, department, or organization that deserves recognition for being green and promoting sustainability on campus, put its name in the hat before April 1. You can even nominate yourself, your organization, or your department. The awards will be announced on April 22 at the university’s Earth Day Celebration and will recognize those who have made significant contributions toward advancing sustainability at UF. Awards will be presented in the areas of water, waste, and energy conservation/reduction. Submissions can also be made for the "Bright Idea" award, which will be given for the best new idea for advancing sustainability on UF’s campus. The most active Green Team and the most active student group awards are also up for grabs.

Faculty and staff dining memberships available through Gator Dining

Gator Dining offers UF faculty and staff dining memberships that provide 30 meals with a choice of three dining locations: the Fresh Food Company in Broward Dining Hall, the Gator Corner Dining Center, and Home Zone in the Reitz Union. In addition, your membership comes with $25 worth of “flex bucks” accepted at all Gator Dining locations including five participating campus convenience stores and the Camellia Court Café in the Harn Museum of Art.

Why should you purchase a dining membership? A faculty/staff dining membership offers 30 meals plus $25 in flex bucks for $212— a savings of 25 percent off the retail door price. Meals and flex bucks never expire and are transferable so you can treat a co-worker to lunch. Those who qualify may purchase the dining membership through payroll deduction.

How does the faculty and staff dining membership work? The faculty/staff dining membership is designed to provide a better dining value than paying by cash or credit card. When you purchase a dining membership, the magnetic strip on the back of your Gator1 card identifies you as a dining member. All you need to do is present your Gator1 card at the register and inform the cashier you have a dining membership.

Participate in UF's Institute of Intercultural Communication online survey
As UF continues to build its international reputation in today’s global and multicultural environment, communications issues have surged. Communicating effectively within the extensive cultural mix represented on campus can challenge faculty, staff, and students. The UF Institute on Intercultural Communication is conducting a survey to improve communication between UF faculty, staff, and students. The purpose of the study is to assess the needs and concerns of the three groups in various on-campus communication contexts and design effective strategies for addressing specific challenges identified in the survey. To participate in this 15-minute survey, please go to either the faculty or staff questionnaire.

UF Faculty and Staff Day: Free admission to the Gators vs. Alabama baseball game
Present your Gator1 ID card at the gate to receive free general admission for the Gator baseball game vs. Alabama on Saturday, March 28, at 4 p.m. at McKethan Stadium. The Florida Retirement System has added new features and enhanced security for its online services. New features include:

  • Online services message center
  • Communications preferences that allow you to choose how to receive Information and publications from Florida Retirement Services
  • User profile setup that allows participants to input their own user log in name
  • More secure password

Free diabetes screenings for the UF community

The UF Diabetes Center of Excellence and other campus organizations will host “Diabetes Alert!” on Tuesday, March 24, on the J. Wayne Reitz Union Colonnade from 10 a.m. to 2 p.m. Faculty, staff, and students will receive free screenings to find out their important health numbers. The event is designed to raise awareness of the warning signs of diabetes and offer healthy lifestyle tips to help prevent type 2 diabetes.
