UF supervisors: It's time to complete staff performance appraisals
Once again, it is time to issue annual performance appraisals for USPS and TEAMS employees. The evaluation period for all USPS and TEAMS employees is from March 1, 2008, through February 28, 2009, with appraisals completed by March 31, 2009. Annual performance appraisals are designed to summarize and document feedback given to employees throughout the year. Formal performance appraisals can affect various personnel-related actions; thus, supervisors should give priority to their completion.
When completing performance appraisals, supervisors should focus on job performance (an employee’s competence or ability to perform the job), and work-related behavior (the way in which the employee performs the job), using specific language and examples of work performance or behavior observed throughout the evaluative period. A few important reminders:

Include UFID numbers and employees' complete and correct full names. Use proper first and last names with no nicknames to be clear about who is being evaluated.

Use the online Performance Appraisal form for all non-exempt TEAMS and all USPS employees and a narrative document for exempt TEAMS.

Employees must date documents when signing or indicate that they do not wish to sign.

Appraisal ratings on forms must be in whole numbers.

If an appraisal results in a less than satisfactory rating—an overall rating of "minimally achieves" or "below performance standards"—please contact the appropriate employee relations office prior to presenting to the employee. They can then assist you with appropriate documentation.

The completed appraisal must be issued to the employee, signed, and dated by March 31, 2009.

Employees in their probationary period of employment or who have been employed for fewer than 60 days do not need to be appraised.
Forms that are not fully or accurately completed will be returned to the department for corrections which could result in delayed processing. Double-deductions begin for nine- and ten-month employees
To ensure coverage for health, state life, optional, and supplemental insurance continues during the summer, nine- and ten-month employees will have double-deductions taken from their paychecks beginning with the February 13 paycheck and continuing through May 8. Normal payroll deductions will resume in September.
Nine- and ten-month employees whose pay will be interrupted during this period or who will terminate employment at the end of the spring semester should contact University Benefits and Retirement at (352) 392-2477 or benefits@ufl.edu.

Participate in UF's Institute of Intercultural Communication online survey
As UF continues to build its international reputation in today’s global and multicultural environment, communications issues have surged. Communicating effectively within the extensive cultural mix represented on campus can challenge faculty, staff, and students.
The UF Institute on Intercultural Communication is conducting a survey to improve communication between UF faculty, staff, and students. The purpose of the study is to assess the needs and concerns of the three groups in various on-campus communication contexts and design effective strategies for addressing specific challenges identified in the survey.

Experiencing a work or life-event change?
UF employees experiencing a “qualifying status change” should contact University Benefits and Retirement as soon as possible to ensure their benefits are properly adjusted for the remainder of the plan year. Employees have only 31 days to make coverage changes after a qualifying event occurs.
Events that qualify an employee for a benefits status change are:
- Start or return from leave
- Marriage
- Termination
- Birth or adoption of a child
- Death or ineligibility of a dependent
- Court order pertaining to children (i.e., legal guardianship or a divorce decree)
- Change in FTE
- Gain or loss of other coverage
- Eligibility for Medicare or Medicaid
- Change in spouse's employment

Get 2-for-1 tickets to the Gators vs. Alabama men’s basketball game!
Print this copy of the InfoGator and bring it and your Gator1 ID card to the Gator ticket office to redeem for 2-for-1 tickets to the Gator vs. Alabama men’s basketball game. Foreign National employees: Look for 1042-S and employee year-end earnings statements by March 16
UF foreign national employees or nonresident aliens will receive their IRS 1042-S forms on or before March 16, 2009, since these employees have special withholding and reporting requirements with the IRS. Nonresident aliens receiving IRS 1042-S forms will not receive employee year-end earnings statements.

Leave cash-outs
Faculty and staff with sick and vacation leave cash outs valued at $2000 become participants in the Retirement Special Pay Plan. This plan is mandatory, authorized by section 401(a) of the internal revenue code, which maximizes tax advantages to both the employee and the University. Once assets are deposited with Bencor—the plan administrator – the participant has several investment options, or the assets may be accessed by submitting a distribution request form. Since taking a distribution may have tax consequences, the University offers a “make whole” provision. Have you completed sexual harassment prevention training?
More than 7,000 employees have completed online training
As a way to increase awareness of University employees’ roles and responsibilities for keeping UF free from sexual harassment, the Office of Human Resource Services launched an online learning training course—“Preventing Sexual Harassment”—this past fall.
This “Preventing Sexual Harassment” online training course replaced training certification previously offered through sexual harassment conference attendance (Mini-Conference on Sexual Harassment, GET119).
Employees who had NOT previously attended the classroom training have been asked to complete the online “Preventing Sexual Harassment” training course. Since making the training available, more than 7,000 employees have successfully done so.
The online workshop is available to UF employees via the myUFL system. Under My Self Service, employees should select Training and Development. Once in the Training and Development section, they should select the “Preventing Sexual Harassment” training course listed under “Online Learning” to complete the course online.

Flu shots available through the SHCC
Students, faculty, and staff can visit the Student Health Care Center on a walk-in basis to get a flu shot Monday through Friday from 8:00 to 11:30 a.m. or 1:00 to 4:00 p.m. The cost is $5 for students and $25 for faculty and staff.
