"Preventing Sexual Harassment" training now available online In recent years, University of Florida employees have been encouraged to attend a half-day Mini-Conference on Sexual Harassment (course number GET 119) as part of their orientation to the university’s policies and procedures. But last week, Human Resource Services introduced a new online “Preventing Sexual Harassment” training to replace the former mini-conference.
Employees who have not attended the classroom training are now being asked to complete the online “Preventing Sexual Harassment” tutorial by the end of January 2009. To do so, they should sign onto the myUFL system and navigate to My Self Service, Training and Development, Online Learning, “Preventing Sexual Harassment.” New employees are encouraged to complete the tutorial within their first 30 days of employment.
Employees may confirm previous classroom training attendance by checking their training summaries in the myUFL system. To do so, navigate to My Self Service, Training and Development, Training Summary. Classroom training is indicated as “Mini Conf on Sexual Harassment”; under Certificates, it is listed as “Sexual Harassment Certificate.” Reports noting who has attended previous classroom training also will be provided to each dean or director's office by Larry T. Ellis, director of Institutional Equity & Diversity.
Employee records in the myUFL system are expected to be updated starting in December to reflect completion of the online training. In the interim, employees are encouraged to print the certificate provided at the end of the tutorial for their own records to demonstrate course completion. An 80 percent score on the course’s mastery test is required for training credit to be given. HRS also will be notified of those employees who successfully complete the training; employees do not need to send a copy of the certificate to HRS.
As a result of the launch of this online training, all sections of GET119 scheduled for the fall semester have been cancelled, and registered participants have been contacted with this information via e-mail.
HRS is pleased to provide this important training for faculty and staff to increase awareness of our roles in and responsibilities for keeping our workplace free from sexual harassment. Did you add any dependents during Open Enrollment?
If you added dependents to any of your plans during Open Enrollment, the People First Service Center requires dependent documentation. A copy of appropriate documentation (e.g., marriage certificate, birth certificate) should be submitted to the People First Service Center along with your name and People First user ID (not UFID) on all documents. Failure to send in documentation within 60 days following the coverage start date may result in a loss of coverage for dependents. Currently, the following are considered eligible dependents under the family coverage tier:
- Spouse
- Unmarried children through the end of the month in which they reach age 19
- Unmarried children age 19 through the end of the calendar year they reach age 25 if they depend on you for more than 50% of their financial support and live with you or are enrolled in any school, college or university certified or licensed by a state or foreign country
- Mentally or physically disabled children who have reached the age limits but are incapable of self-sustained employment and are dependent on you for more than 50% of their financial support
- An eligible child's newborn child for 18 months after the child's birth, or until your eligible child who is the infant's parent no longer qualifies as your dependent
Optional Over-Age Coverage ( for health insurance only): New coverage this year for children age 19 through the end of the calendar year when the child turns 30 may be purchased at an additional premium for dependent children who:
- Are not married
- Have no dependents (i.e., children, domestic partner)
- Are not provided or otherwise have available other major medical health insurance, and
- Either live in Florida or are a student in another state
The majority of the supplemental plans (dental, vision, hospital, etc.) follow the same criteria as the family coverage tier as outlined above; however, some plans may vary. Please check the company brochure or with the agent for details on dependent eligibility requirements. [back] December leave cash-out period is Nov. 14-27
UF TEAMS employees are eligible to cash out up to 16 hours of vacation leave—regardless of FTE—during the pay period of November 14 to 27, provided 40 hours of vacation leave remain on balance after the end of that pay period. If eligible, you will receive the cash-out payment in your December 5 paycheck. To participate, report the number of hours you wish to cash out by entering them in the Weekly Elapsed screen in the myUFL system. You must report the hours during the pay period of November 14 through November 27 using the “DLC – 280 December Vacation Leave” time reporting code on a day when you are not scheduled to work to prevent the myUFL system from blocking you by using the “exceeds 24 hours” exception. Please note:
- The pay period specified is the only pay period the DLC time reporting code can be used.
- Employees should enter the time reporting code in Weekly Elapsed screen by November 27; however, please verify with your department if an earlier deadline has been established internally.
Each department is responsible to ensure that no more than 16 hours of an employee’s vacation leave are cashed out and that 40 hours of vacation leave remain on balance after the end of the November 14-27 pay period. Workshop designed to address campus and community safety
Given the growing concern about personal safety in the workplace and the community, Human Resource Services, in collaboration with the University Police Department and the UF Counseling Center, will be holding two workshops this fall titled “Safe Campus, Safe Community: Creating a Violence-Free Workplace.”
Designed to increase awareness about proactive measures and appropriate responses in the event of a disruptive or violent situation, these workshops are designed for UF administrators to help ensure a safe campus environment at our university. Appropriate administrative staff members also are welcome and encouraged to attend. Employees may choose from one of two sessions being offered:

ORP participants switching to FRS encouraged to submit paperwork soon
Throughout the past year, eligible SUSORP participants were given the opportunity to make a switch to the Florida Retirement System if they so elected. Those eligible were recently sent a reminder that if they elected to make the switch they would need to do so by December 31, 2008.
University Retirement strongly urges members who wish to make the change to submit the conversion form by the end of November, as the signature of a UF retirement office representative is required. A copy of information sent to eligible participants last May—including an overview of the plan choices available, a comparison of the plans, a fee comparison, and enrollment form—is available online. Please note that if you do not wish to make a change to your retirement, no action is required on your part. Questions? EEP now accepting applications for spring semester
The Employee Education Program (EEP) is a popular benefit available to eligible UF faculty and staff. The program provides tuition assistance for up to six credit hours of eligible college-level courses per semester.
Employees interested in participating in the EEP during the spring semester should register and complete their applications by the following deadlines:
UF students must register between December 29, 2008, and January 12, 2009, for the spring semester. All completed applications must be turned in to the University Registrar’s office, located at 222 Criser Hall, or faxed to (352) 846-1126 by 5 p.m. on January 13, 2009. No late applications will be accepted.
Santa Fe students should register during regular registration, which ends December 11, 2008. All completed applications should be turned in to the Santa Fe cashier’s office by this date. Registration after December 11, 2008, is permitted, but those applications must be turned in to the cashier’s office by 4 p.m. the next business day after registration.
Students attending other institutions should register before the registration deadlines at their approved institutions. Completed applications for the spring 2009 semester must be turned in by December 5, 2008, to Jamie Cooke, UF education coordinator, by fax at (352) 392-1055 or via e-mail to jamie-cooke@ufl.edu.

Vacation leave conversion slated for January 8
This year, vacation leave conversion will take place at the end of the December 26, 2008, to January 8, 2009, pay period. If a TEAMS or vacation-accruing Academic Personnel employee’s vacation leave balance exceeds 480 hours or a USPS employee’s vacation balance exceeds 240 hours at the end of that pay period, the excess vacation leave hours will be converted to sick leave.
Please note that the vacation leave accrual for the December 26, 2008 - January 8, 2009, pay period also will be included in the conversion. The myUFL navigation to view your most recent vacation leave balance is as follows: My Self Service > Payroll and Compensation > View Leave History. Any vacation leave taken on or before January 8, 2009, must be reported in the Weekly Elapsed screen before the January 8, 2009, conversion. Vacation leave taken after January 8, 2009, should be reported after the conversion occurs.

Gator Swimming and Diving will host a UF Student, Faculty and Staff Day at its November 8 meet vs. South Carolina at 2 p.m. The first 200 students, faculty, and staff combined who show their Gator 1 ID card will get a free slice of pizza. Admission to the event is free.
