Important information regarding distribution of W-2s

Employees’ 2007 IRS Form W-2s will be distributed from University Tax Services (Room 24, Tigert Hall) by January 30, 2008. Employees will also receive an Employee Year-End Earnings Statement.

Departmental payroll administrators must distribute the 2007 W-2s to employees on or before January 31, 2008. Mailed forms must be postmarked by January 31, 2008. W-2 forms that are returned by mail to departmental payroll administrators must be submitted to University Tax Services for safekeeping in compliance with IRS Regulations.

The earnings statements will assist employees in comparing the amounts on the W-2 form to the earnings, deductions, taxes, and net pay on their last biweekly earnings statement for 2007. It will also include other nontaxable items and the university’s contributions on behalf of the employees.

Employees may use the following calculation to match their calendar year-end gross earnings to their net pay as provided on the Employee Year-End Earnings Statements.

Nonresident aliens receiving IRS 1042-S forms will not receive Employee Year-End Earnings Statements.

Understanding leave balances and end-of-calendar-year balances

On the Payroll and Compensation homepage under My Self Service in the myUFL systems, the leave balances displayed for all prior pay periods in the 'View Paycheck' section get updated each pay period with current pay period leave balances, so it will appear that no leave is being accrued.

For an accurate view of prior pay period leave balances, please click on the ‘View Leave History’ link, which can also be found on the Payroll and Compensation homepage under My Self Service. An instruction guide for viewing leave balances is available.

Viewing calendar year-end leave balances
In the leave accrual screens (available to those with the roles UF_TL Approver or UF_TL Payroll Processor) under Benefits > Manage Leave Accruals > Review Accrual Balances, the "Earned Year-To-Date" field for the accrual date of January 10, 2008 will reflect leave accrued for the 12/28/07 - 01/10/08 pay period.  

Leave used and adjusted during this pay period will not be posted under the "Taken Year-To-Date" or "Adjusted Year-To-Date" fields; however, these leave transactions will be reflected in the "Carried over from previous year" field. With that in mind, the available balances are correct in the system.

The schedule includes Time & Labor deadlines as well as Human Resource Services' deadlines to assure that all supporting documents are received in time for approval for the next payday.
