Student assistant appointment and termination process changed
An automated process for terminating student appointments will be made available this month to enable department administrators to identify student appointments that should be terminated at the end of the spring semester.
An online screen available to departmental administrators will list their current STAS hourly appointments as well as the students' eligibility for summer STAS appointments. Departmental administrator will select the STAS appointments to be terminated at the end of the term, eliminating the need to enter an ePAF for each termination.
Two other changes involve student work permits and hire paperwork. If a student remains eligible for a student assistant position and he or she continues to be employed in the same department, a work permit for summer employment will no longer be required. Departments also are no longer required to submit a copy of the hire paperwork for OPS employees who have been employed by the university in any capacity, including student assistants, within the past 12 months.
These three changes will make the entire hire process more efficient and significantly reduce the workload for departmental administrators, students, and core HR offices.
Please note that Federal Work-Study (FWSP) student appointments processes will remain the same.

Terminations from file automatically downloaded into myUFL
Monday, May 12
Terminations available for review in job data

Employees must report 2007-08 compensatory leave use by May 25
The 2007-08 fiscal year-end overtime and special compensatory leave cashout will occur during the May 16 to May 29 pay period for the pay date of Friday, June 6, 2008. Regular compensatory leave balances are retained.
In keeping with past practice, departments are encouraged to require employees to use accrued compensatory leave prior to the cashout to minimize compensatory leave cashout payments. Supervisors may require the use of compensatory leave prior to approving the use of vacation.
- May 15 is the deadline for employees to "swap out" overtime and special compensatory leave for prior use of vacation or other leaves, or to otherwise use these compensatory leaves retroactively. The Time & Labor entries must be entered and approved by the end of the May 2 to May 15 pay period so that they can be processed on the accrual for May 15. After that, it is too late and will cause the negative balance/paid twice situation.
- Overtime or special compensatory leave earned beginning with the May 16 to May 29 pay period will carry over into the 2008-09 fiscal year and will not automatically be cashed out this fiscal year.
- Beginning with the May 16 pay period, please contact Leave Administration before making any corrections in Time & Labor that will impact compensatory leave balances in prior pay periods.
- Compensatory leave that will be used by June 30 must be entered into the system no later than 5 p.m., Sunday, May 25, 2008, or it will be cashed out automatically.
- No special or overtime compensatory leave usage should be entered in the system after 5 p.m., Sunday, May 25, 2008, when the compensatory leave balances will be pulled to determine cashout amounts because it will cause employees to be paid twice—once from the automatic cashout of hours and once from the usage entered after May 25—and also will cause negative compensatory leave balances. If compensatory leave usage is entered incorrectly, it should be deleted.
- “Leave Accruals, Usage and Balances by Pay Period, Department” and the Leave Accruals, Usage, and Balances by Pay Period, Department – COMP ONLY” reports are available in Enterprise Reporting (Navigation - Enterprise Reporting > Human Resources Information > Benefits Information > Leave). You must have the security role of UF_ER_HRPR_BEN_LEAVE to access these reports.

Summer enrollment now open for GatorGradCare
Enrollment is now open for summer-only coverage under GatorGradCare and runs through May 16. Summer-only coverage begins on May 16, 2008, and ends on August 15, 2008. Summer-only coverage is for students who did not enroll in annual or spring/summer coverage for the 2007-2008 academic year. Students must meet the GatorGradCare eligibility requirements in order to enroll in summer-only coverage. Students interested in summer-only coverage must log on to www.gatorgradcare.com and select the “Enroll Online” tab to complete the enrollment process before May 16, 2008.
Graduate students who meet the eligibility requirements may also enroll in GatorGradCare plans for the 2008-2009 academic year now through September 14, 2008. The coverage terms available during this enrollment period are the following:
- Annual: August 16, 2008 – August 15, 2009
- Fall Only: August 16, 2008 – December 31, 2008
- Fall/Spring: August 16, 2008 – May 15, 2009
Students interested in annual, fall only, or fall/spring coverage must log on to www.gatorgradcare.com and select the “Enroll Online” tab to complete the enrollment process before September 14, 2008.

GatorGradCare annual or spring/summer enrollees eligible to use the SHCC during summer
Graduate students who are not registered for courses during the summer and are enrolled in annual or spring/summer coverage together under GatorGradCare may still use the Student Health Care Center during the summer months. Graduate students falling into this category have the following two options in order to utilize the Student Health Care Center during the summer months:
1. The GatorGradCare graduate student with annual or spring/summer coverage may pay the summer health fee, which covers office visits and use of the Student Health Care Center Pharmacy. The health fee cost for the summer are as follows:
- Summer A: $75
- Summer B: $75
- Summer C: $150
(Entire Summer)
The health fee is paid directly to the Student Health Care Center.
The graduate student’s office visit would be covered by this health fee. Once the health fee is paid, the Student Health Care Center benefits under GatorGradCare would be in place. A description of these benefits can be found on page 8 of the GatorGradCare brochure or by calling Student Resources at 1-800-996-4698.
If a GatorGradCare graduate student has purchased coverage for a spouse or domestic partner, then both the graduate student and the spouse or domestic partner would have to pay the health fee in order for the spouse or domestic partner to be seen at the Student Health Care Center.
2. The GatorGradCare graduate student with annual or spring/summer coverage may be seen at the Student Health Care Center without paying the summer health fee. The Student Health Care Center benefits under GatorGradCare would be in place. A description of these benefits can be found on page 8 of the GatorGradCare brochure or by calling Student Resources at 1-800-996-4698. An additional $60 fee will be added to the graduate student’s total bill. This will make the student’s 20 percent coinsurance amount slightly higher.
Example: If a student’s total bill was regularly $100, the student would pay 20 percent, which equals $20. However, an additional $60 will be added to the total bill per visit. So, the total is now $160. The student will pay 20 percent of $160, which equals $32.
The GatorGradCare graduate student with annual or spring/summer coverage may also use the Student Health Care Center Pharmacy without paying the summer health fee. An additional $10 fee will be added to the cost of the prescription. The student would still pay the appropriate copay under GatorGradCare for the prescription. Students will only notice this extra fee if the cost of the prescription was usually less than the $10 minimum copay.
This is not an option for spouses or domestic partners covered under GatorGradCare.
These options do not apply to students who are registered for summer classes and are covered under GatorGradCare.

Remember that all FICA Alternative eligible jobs, including those with zero compensation, must be terminated before the participant may request a distribution of his or her FICA Alternative funds.
