Student assistant appointment and termination process changed
An automated process for terminating student appointments will be made available this month to enable department administrators to identify student appointments that should be terminated at the end of the spring semester.
An online screen available to departmental administrators will list their current STAS hourly appointments as well as the students' eligibility for summer STAS appointments. Departmental administrator will select the STAS appointments to be terminated at the end of the term, eliminating the need to enter an ePAF for each termination.
Two other changes involve student work permits and hire paperwork. If a student remains eligible for a student assistant position and he or she continues to be employed in the same department, a work permit for summer employment will no longer be required. Departments also are no longer required to submit a copy of the hire paperwork for OPS employees who have been employed by the university in any capacity, including student assistants, within the past 12 months.

Employees must report 2007-08 compensatory leave use by May 25
The 2007-08 fiscal year-end overtime and special compensatory leave cashout will occur during the May 16 to May 29 pay period for the pay date of Friday, June 6, 2008. Regular compensatory leave balances are retained.
In keeping with past practice, departments are encouraged to require employees to use accrued compensatory leave prior to the cashout to minimize compensatory leave cashout payments. Supervisors may require the use of compensatory leave prior to approving the use of vacation.
- May 15 is the deadline for employees to "swap out" overtime and special compensatory leave for prior use of vacation or other leaves, or to otherwise use these compensatory leaves retroactively. The Time & Labor entries must be entered and approved by the end of the May 2 to May 15 pay period so that they can be processed on the accrual for May 15. After that, it is too late and will cause the negative balance/paid twice situation.

Summer enrollment now open for GatorGradCare
Enrollment is now open for summer-only coverage under GatorGradCare and runs through May 16. Summer-only coverage begins on May 16, 2008, and ends on August 15, 2008. Summer-only coverage is for students who did not enroll in annual or spring/summer coverage for the 2007-2008 academic year. Students must meet the GatorGradCare eligibility requirements in order to enroll in summer-only coverage. Students interested in summer-only coverage must log on to www.gatorgradcare.com and select the “Enroll Online” tab to complete the enrollment process before May 16, 2008.
Graduate students who meet the eligibility requirements may also enroll in GatorGradCare plans for the 2008-2009 academic year now through September 14, 2008. The coverage terms available during this enrollment period are the following:
- Annual: August 16, 2008 – August 15, 2009
- Fall Only: August 16, 2008 – December 31, 2008
- Fall/Spring: August 16, 2008 – May 15, 2009
Students interested in annual, fall only, or fall/spring coverage must log on to www.gatorgradcare.com and select the “Enroll Online” tab to complete the enrollment process before September 14, 2008.
