 Online simulations and other help available via the new myUFL toolkits

Looking for assistance with the myUFL system? Training and Organizational Development is pleased to announce the new myUFL toolkits. Available for many of the myUFL subsystems, these toolkits include new online simulations, updated instructional guides, security role and training information --along with links to other helpful web sites. 

Toolkits are now available for Travel and Expense, Asset Management, Purchasing, Accounts Payable (Vendors), Budget and Commitment Control, Deposits, Enterprise Reporting, Managerial Budgets, Payroll Distributions, Time and Labor, PreAward (Grants), GatorJobs, Hiring and Additional Pay, as well as Job and Position Actions. In order to view the web simulations on the toolkits, you may need to bypass any pop-up blocker installed on your computer by holding down the Ctrl key. 

Please update your instruction guide links to reflect their new home on the toolkits!  In order to avoid multiple, outdated, or differing versions of instruction guides and other resources, individual instruction guides have been removed from the UF Bridges web site, which now directs employees to the myUFL toolkits. On each of the toolkits, you will find updated instruction guides for that module. 

Free computer training available for faculty and staff

UF faculty, staff, and students can take advantage of 47 free training courses available on the UF Microsoft IT Academy site (www.cns.
ufl.edu/msita
). 

The courses cover topics such as Windows Vista, Microsoft Office 2007, and an assortment of other subjects, including Exchange 2007 Server, SQL Server 2005, Visual Studio, .NET programming, and Windows 2003 server. 

These courses are FREE to all active GatorLink account holders. Please take advantage of this self-paced online training, available 24 hours a day, seven days a week. You will need to enter your GatorLink username and password to access these courses.

Important deadlines for the Employee Education Program

Employees interested in participating in the Employee Education Program during the fall semester should register and complete their application forms by the following deadlines:

University of Florida students
(must register during specified registration period)

Fall 2007— EEP Registration Period: August 16, 2007, to August 29, 2007

EEP Application Forms Due: 5:00 p.m. on August 30, 2007, to the University Registrar, 222 Criser Hall.

Registration after August 29 is subject to a $100 late registration fee.

Santa Fe Community College students
Fall 2007—August 1, 2007

If you register on or before this date, your EEP application form is due to the SFCC Cashier’s office by 4:00 p.m. on August 1, 2007.

If you register after the original due date, the EEP application form must be turned in by 4:00 p.m. on the next business day.

Nominations for 2008 Davis Productivity Awards start late July

The nomination forms for the 2008 Prudential Financial Davis Productivity Awards will be available in late July. Nominate an individual, team, or partnership that you believe has made a significant cost-savings contribution from your corner of the Gator Nation.

Save the date: Open Enrollment and the Benefits Fair slated for fall

This year's annual Open Enrollment and Benefits Fair is just around the corner. Open enrollment is scheduled to begin on September 17 and end on October 19. The Benefits Fair, which provides more information about available programs and options, will be held on October 1 and 2 in the Reitz Union Grand Ballroom.

Improvements coming to the myUFL portal

UF Bridges will update the myUFL portal from PeopleSoft version 8.45 to version 8.48 on Saturday, July 14, 2007. Although the overall look and feel of the site will not change, the upgrade will make the portal compatible with popular browsers such as FireFox 1.0 and Internet Explorer 7.0 and gives the user the ability to navigate to the service needed in fewer clicks.

Projected deficit prompts UF hiring freeze

The University of Florida has instituted a campus-wide hiring freeze effective July 2 in response to a projected deficit that could range from $20 million to $30 million caused by a significant decline in revenue and rising expenses.

The hiring freeze will apply to all faculty and staff at all UF units statewide. Exceptions to the hiring freeze will be considered for positions funded from non-state sources, such as clinical revenue — money generated from patient care provided by UF faculty — and contracts and grants.

Retirement tips and updates

DROP reminders
The Deferred Retirement Option Program (DROP) is offered for FRS Pension Plan members who have reached their normal retirement date. For regular class members, that is age 62 (and are vested) or have at least 30 years of creditable service, regardless of your age.

In most cases, to participate, you must enroll within your personal "election window," which is no later than 12 months after you reach your normal retirement date. If you have questions, please call University Retirement at 392-2HRS or email us at retirement@ufl.edu.

Investment company representatives available for consultations

Investment company representatives are available for appointments at the HRS Building. An AIG Valic representative (1-800-892-5558 ext. 87260) is available every Monday and Friday. ING (372-1802) will have a representative onsite every Tuesday and Wednesday. Jeff Juday (1-800-550-4068), Senior Retirement Counselor from Fidelity Investments, will be onsite on July 26.  In addition, a Tiaa-Cref consultant will be available in the near future (1-877-267-4510). Please call the contact numbers to schedule an appointment. 

Pension Plan members: Look for an updated retirement guide in the mail  

The Division of Retirement is sending Pension Plan members an updated FRS Today Retirement Guide. This booklet contains important information about your retirement system benefits and policies. Please watch for it in the mail.

Is your department ready for a hurricane?

Hurricane season is upon us again. It is important for each UF department to be ready for potential storms. Here are a few key facts to keep in mind regarding your hurricane response:

  • The UF home page – www.ufl.edu – will be the primary source of information regarding class cancellations, campus closures, and work schedules. Announcements will also be sent to faculty, staff, and students via email.
  • Checklists are available on Environmental Health & Safety’s Emergency Management page to assist departments in preparing their work space for hurricanes should the university close. An updated Departmental Tropical Weather Response and Recovery Plan template will be available soon.
  • UF will follow forecasts and information provided by the National Weather Service-Jacksonville and the National Hurricane Center. Additional weather resources are available on UF’s weather page at www.ufl.edu/weather.

Employee Education Program information sessions offered in July and August

The Employee Education Program (EEP) is a popular benefit made available to eligible UF faculty and staff. The program covers the matriculation fees of up to six credit hours of covered college-level courses for eligible employees. To better inform employees of the procedures and paperwork associated with participating in the EEP, the Office of Human Resource Services, in collaboration with the Registrar’s Office, will provide short information sessions on Monday, July 23, from 3:00 to 4:30 p.m., in Room 120 at the HRS Building and on Wednesday, August 8, from 9:00 to 10:30 a.m., in Room 120 at the HRS Building. The sessions will cover the following topics:

  • Purpose of the EEP
  • How many classes employees may take
  • Approval for participation
  • Scheduling
  • Procedures to follow
  • Identifying approved courses
  • Deadlines for submitting paperwork
  • Requirements for attending other academic institutions
  • Financial obligations
  • Participants' responsibilities
  • Helpful contact information

Higher Education Opportunity (HEO) provides tuition assistance for children of full-time TEAMS employees: Apply for the 2008 HEO Scholarship by November 1, 2007

The University of Florida’s Higher Education Opportunity (HEO) provides children of full-time TEAMS employees with the opportunity of tuition assistance for an undergraduate education at the University of Florida. In March 2008, Human Resource Services will select at random from a pool of eligible HEO applicants 50 TEAMS employees to participate in this program. Each eligible employee may submit one child’s name into the drawing. To be considered for this benefit, the TEAMS employee must apply for the HEO by November 1, 2007.

2007 Prudential Financial Davis Productivity Regional Awards Ceremony recognizes UF teams

The Davis Productivity Awards program, which annually honors state government employees throughout Florida, held its annual Regional Awards Luncheon on Wednesday, June 20, 2007, at the Best Western Gateway Grand.
