Online simulations and other help available via the new myUFL toolkits
Looking for assistance with the myUFL system? Training and Organizational Development is pleased to announce the new myUFL toolkits. Available for many of the myUFL subsystems, these toolkits include new online simulations, updated instructional guides, security role and training information --along with links to other helpful web sites.
Toolkits are now available for Travel and Expense, Asset Management, Purchasing, Accounts Payable (Vendors), Budget and Commitment Control, Deposits, Enterprise Reporting, Managerial Budgets, Payroll Distributions, Time and Labor, PreAward (Grants), GatorJobs, Hiring and Additional Pay, as well as Job and Position Actions. Visit the toolkits online at www.hr.ufl.edu/
training/myufl/toolkits.
In order to view the web simulations on the toolkits, you may need to bypass any pop-up blocker installed on your computer by holding down the Ctrl key.
Please update your instruction guide links to reflect their new home on the toolkits! In order to avoid multiple, outdated, or differing versions of instruction guides and other resources, individual instruction guides have been removed from the UF Bridges web site, which now directs employees to the myUFL toolkits. On each of the toolkits, you will find updated instruction guides for that module.

Improvements coming to the myUFL portal
UF Bridges will update the myUFL portal from PeopleSoft version 8.45 to version 8.48 on Saturday, July 14, 2007. Although the overall look and feel of the site will not change, the upgrade will make the portal compatible with popular browsers such as FireFox 1.0 and Internet Explorer 7.0 and gives the user the ability to navigate to the service needed in fewer clicks.
Visit http://www.bridges.ufl.edu to preview the new navigation choices in a brief online tutorial prepared by the Training and Organizational Development team. |
Projected deficit prompts UF hiring freeze
The University of Florida has instituted a campus-wide hiring freeze effective July 2 in response to a projected deficit that could range from $20 million to $30 million caused by a significant decline in revenue and rising expenses.
The hiring freeze will apply to all faculty and staff at all UF units statewide. Exceptions to the hiring freeze will be considered for positions funded from non-state sources, such as clinical revenue — money generated from patient care provided by UF faculty — and contracts and grants.
The process for posting a new position will require a completed exception form (located online at http://www.hr.ufl.edu/class_comp/forms/exemption-request-form.pdf) and have it approved by the appropriate Dean, Vice President, and Senior Vice President. All exception forms should be faxed to 846-3058 prior to the initiation of a requisition.
The following titles and categories are exempted from the hiring freeze:
- OPS Jobs
- Graduate Assistants
- Post Doctoral Associates
- Fellows (Pre- and Post-)
- Student Assistants
- Federal Work-Study
Again, it is expected that requests for exceptions will be kept to an absolute minimum.
Requests from academic units must first have approval of the Dean and then be routed to the respective Senior Vice President for review. Requests from administrative units must first have approval of the Vice President and then be routed to the Senior Vice President for Administration for review. Decisions will be communicated in a timely manner.
To view questions and answers about the hiring freeze as well as the original memos from President Machen and Kyle Cavanaugh, Senior VP for Administration, please visit www.hr.ufl.edu/recruitment/freeze.asp.
Questions regarding the hiring freeze should be directed to Donna Burdge, Associate Director, Recruitment and Staffing, at burdge@ufl.edu or 273-1736.

Is your department ready for a hurricane?
Hurricane season is upon us again. It is important for each UF department to be ready for potential storms. Here are a few key facts to keep in mind regarding your hurricane response:
- The UF home page – www.ufl.edu – will be the primary source of information regarding class cancellations, campus closures, and work schedules. Announcements will also be sent to faculty, staff, and students via email.
- Checklists are available on Environmental Health & Safety’s Emergency Management page to assist departments in preparing their work space for hurricanes should the university close. An updated Departmental Tropical Weather Response and Recovery Plan template will be available soon.
- UF will follow forecasts and information provided by the National Weather Service-Jacksonville and the National Hurricane Center. Additional weather resources are available on UF’s weather page at www.ufl.edu/weather.
Are you personally ready for a hurricane?
An important part of UF preparedness is making sure your family and home are ready for a storm. Take actions now to be prepared including assembling a disaster supply kit.
- Know in advance if your role at UF will require you to work during or immediately after a storm and make necessary arrangements for your family and pets. Tips for preparing a personalized, family disaster plan are available from the Florida Division of Emergency Management and IFAS Solutions for Your Life.
- If Alachua County is threatened by a hurricane,
shelters will be opened on campus for UF faculty, staff, students, and their families. Shelter locations and information will be posted on the home page. In most cases, on-campus residents and those living in sturdy construction, non-flood prone areas can shelter in their home. If using a shelter, please bring a change of clothes, bedding, pillow, toiletry items, and your prescription medications.
- In the event of a power outage, have a battery-powered radio in your home to monitor local media including announcements from UF. Campus radio stations will provide information and simulcast WCJB TV-20 newscasts when appropriate.
Additional information on hurricane preparedness, including a short video, is available at www.ehs.ufl.edu/disasterplan.

The sessions will cover the following topics:
- Purpose of the EEP
- How many classes employees may take

Higher Education Opportunity (HEO) provides tuition assistance for children of full-time TEAMS employees: Apply for the 2008 HEO Scholarship by November 1, 2007
The University of Florida’s Higher Education Opportunity (HEO) provides children of full-time TEAMS employees with the opportunity of tuition assistance for an undergraduate education at the University of Florida. In March 2008, Human Resource Services will select at random from a pool of eligible HEO applicants 50 TEAMS employees to participate in this program. Each eligible employee may submit one child’s name into the drawing. To be considered for this benefit, the TEAMS employee must apply for the HEO by November 1, 2007.
For the child of each selected employee, the university will pay the in-state matriculation fees (the actual tuition minus any additional fees for activities, transportation, health, services, athletics, late registration, late payment, materials, supplies, labs, etc.) for up to 12 credit hours during the fall and spring semesters and 6 credit hours during the summer semester. Please note that any Bright Futures Scholarship award will be subtracted from the amount the student can receive through the HEO. As long as the student remains eligible for the HEO, the Higher Education Opportunity will assist with the student’s tuition until he or she has accumulated a maximum of 132 credit hours or has been enrolled in college for six years. Please visit http://www.hr.ufl.edu/education/heo to read about additional HEO eligibility requirements.
To be entered into the HEO drawing, the full-time TEAMS employee must:
- Submit a completed HEO application form to Training and Organizational Development no later than November 1, 2007.
The child of the full-time UF TEAMS employee must:
- Have applied for admission to the University of Florida no later than November 1, 2007.
- Graduate from high school no later than July 31, 2008.
It is important to note that the University of Florida admissions process and the HEO selection process are separate. Selection for the HEO benefit does not indicate admission into the University of Florida. Application to UF also does not automatically enter a child's name into the HEO drawing. In the event that a child is not accepted to UF, the benefit may be used at a public community college in Florida.
A Higher Education Opportunity information session will be held on Monday, August 27, from 1:30 to 3:00 p.m. in Room 120 of the HRS Building located at 903 W. University Avenue. Employees interested in participating in the HEO are encouraged to attend the information session. Please sign up via myUFL (My Self Service > Training and Development > Request Training and Enrollment). The course code is "GET013."
For more information about the Higher Education Opportunity, please visit our web site or contact Amanda Moore at (352) 273-1761 or by email at amanda-moore@ufl.edu. |
