Students may enroll in summer-only GatorGradCare beginning in March

The enrollment period for summer-only coverage under GatorGradCare will begin during March and end May 16. For 2007, summer-only coverage takes effect on May 16 and ends on August 15. Summer-only coverage is for students who previously did not enroll in spring/summer coverage. Students must meet the GatorGradCare eligibility requirements in order to enroll in summer-only coverage and must log on to www.gatorgradcare.com to complete the enrollment process before May 16.

Graduate students who meet the eligibility requirements may also enroll in GatorGradCare plans for the 2007-08 academic year beginning in March through September 14. The coverage terms available during this enrollment period are as follows:

  • Annual: August 16, 2007 through August 15, 2008
  • Fall-Only: August 16 through December 31, 2007
  • Fall/Spring: August 16, 2007 through May 15, 2008

Students interested in annual, fall-only, or fall/spring coverage must log on to www.gatorgradcare.com to complete the enrollment process before September 14, 2007.

HRS move scheduled for mid-April

The Office of Human Resource Services will be moving to a new location off campus in mid-April. The new building, located at 903 West University Avenue (formerly the BellSouth Building), will be home to all HRS offices currently located in Stadium West as well as Academic Personnel, currently located in Tigert Hall, and the Education and General/Auxiliaries satellite office, currently located at the Reitz Union.

A new HRS Service Center, expanded training rooms, newly renovated facilities, and a prominent location bridging UF with the Gainesville community are just some of the features of the new site that UF faculty and staff can look forward to.

Although HRS is moving off campus, there are many ways to contact us.

All HRS phone numbers will remain the same. The HRS Service Center will be available from 7:30 a.m. to 5:30 p.m.

The HRS web site will continue to serve as UF employees’ main resource for up-to-date information about their benefits, job opportunities, training, and other HR services. The web site also will be continuously updated with information about the move.

The new location at 903 West University Avenue will combine HRS’ offices into one location, creating a one-stop customer experience. Visitors to HRS will enter the main doors, off of University Avenue, and will be greeted by the new HRS Service Center.

UF parking will be available behind the building and in nearby lots. In addition, the RTS bus route 5 has a stop at the new HRS building.

Although the Education and General/Auxiliaries HRS satellite office will be moving to the new HRS Building, employees can still take advantage of three satellite offices on campus:

As our moving date gets closer, updates will be provided to staff and faculty through the InfoGator and the HR Forum (for campus-wide HR administrators), by e-mail, and on the HRS web site.

Employees must report 2006-07 compensatory leave by May 27

All special and overtime compensatory leave on balance as of May 17 will be cashed out during the pay period ending May 31, 2007. Overtime and special compensatory leave earned after May 31 will be part of the 2007-08 fiscal year balances.

In keeping with past practice, departments are encouraged to require employees to use accrued compensatory leave prior to the cash out to minimize compensatory leave cash-out payments.

Employees may use overtime and special compensatory leave through the end of the fiscal year (June 30), but it must be entered by 5 p.m., Sunday, May 27. Any overtime or special compensatory leave not reported and/or used after May 27 will be cashed out automatically by Payroll Services.  

It is, therefore, imperative that no overtime or special compensatory leave usage be entered into the system after May 28 (once the compensatory leave balances are "pulled" to determine cash-out amounts) to ensure employees are not paid twice—once from the cash out and once from using the leave—which will cause a negative overtime or special compensatory leave balance. This also applies to altering compensatory leave usage reflected in previous pay periods. If compensatory leave is entered incorrectly, it should be deleted.

Both “Leave Accruals, Usage and Balances by Pay Period, Department” and the Leave Accruals, Usage, and Balances by Pay Period, Department – COMP ONLY” reports are available in Enterprise Reporting that will indicate those employees who have accrued compensatory leave. To access these reports, you must have the security role of UF_ER_HRPR_BEN_LEAVE.

The navigation to these reports is Enterprise Reporting > Human Resources Information > Benefits Information > Leave. Please note that you may select more than one department by holding the “CTRL” key while selecting appropriate departments.

Two ePAFS needed for terminating employees who cash out leave

Please remember that, in addition to processing an ePAF to terminate the job record for an employee, an additional ePAF is needed for any leave payout due to that employee.

To ensure the timely processing of the leave payout, please make sure the termination is processed before the termination date; the leave payment is processed as soon as all of the leave has been entered for the last pay period worked; and adjustments have been processed including, but not limited to, check cancellation.

To assist you with the submission of a leave cash-out ePAF, a list of guidelines has been developed. These guidelines may be found at http://www.hr.ufl.edu/managers/ePAF.htm. Please note that leave cash-outs with a gross total of $2,000 or more are rolled automatically into the Retirement Special Pay Plan. New directive regulates use of cell phone and other wireless devices

The Internal Revenue Service (IRS) requires that all cell phone calls by the university be specifically and properly identified as to their purpose. This requirement significantly increases UF's record-keeping responsibility and has resulted in the university implementing a new Cell Phone and Other Wireless Communication Devices Directive that provides guidance and makes options available to departments.

In developing this directive the university has tried to be flexible by providing options on how faculty and staff cell phone use is handled. However, you are encouraged to become familiar with this new directive on cell phones and other wireless devices and implement the option that best meets your department's needs.

For your convenience, the presentation from information sessions held in March will be available online on the Finance and Accounting web site. An instruction guide also has been developed.

FICA Alternative Plan available to eligible new employees

Eligible OPS and temporary employees are automatically enrolled or un-enrolled in the FICA Alternative Plan based on their salary-plan status. Currently, more than 9,000 participants are active in this plan, administered by BENCOR Inc.

Additional information is available on the HRS web site at www.hr.ufl.edu/benefits/ficaalternative.htm. We urge you to inform new, eligible employees about the FICA Alternative Plan and encourage them to review this material and to complete and submit the enrollment form that identifies beneficiary information to BENCOR.
