Reminder: Direct Deposit Authorization form processing
Department administrators across campus play an important role in ensuring that the university’s direct deposit policy is followed. Direct deposit is the electronic transfer of net salary and travel expense reimbursements into University of Florida employees’ personal checking or savings accounts. All employees, including temporary hires and non-work study students, are expected to participate in the direct deposit program.
To ensure efficient, accurate processing when setting up direct deposit for an employee, please follow these guidelines. The Direct Deposit Authorization form referenced is available at http://fa.ufl.edu/forms/pdf/fa-ps-dda.pdf.
- A voided check or correspondence from the employee's financial institution must be attached to the form. A notification will be sent to employees who do not attach a voided check or correspondence from the employee's financial institution, and these forms will not be entered.
- Do not send a Direct Deposit Authorization form for employees who do not have a record in Job Data. We cannot enter direct deposit information until they have an active record.
- Do not send a Direct Deposit Authorization form to change an employee's name only.
- Do not send a Direct Deposit Authorization form when employees are changing departments.
- Do not send in a new form if the employee is a re-hire who has worked at UF within the last year and has not changed banks.

Wanted: People who love to walk!
The Healthy Gators 2010 coalition is currently planning a campus-wide walking program to help UF students, faculty, and staff reduce stress, burn calories, lose weight, and meet new people.
This program has the potential to be a huge success, but only with help from enthusiastic people all across campus. Please consider joining our planning committee, or if you cannot join, share this invitation with someone on campus who would love to help get a program like this started! Initially, we will meet one or two times a month for about an hour, but if you cannot make the meetings, you can give valuable input by phone or email.

Update on UF hiring freeze
The University of Florida has instituted a campus-wide hiring freeze effective July 2 in response to a projected deficit that could range from $20 million to $30 million caused by a significant decline in revenue and rising expenses.
The hiring freeze will apply to all faculty and staff at all UF units statewide. Exceptions to the hiring freeze will be considered for positions funded from non-state sources, such as clinical revenue — money generated from patient care provided by UF faculty — and contracts and grants.
The process for posting a new position will require a completed exception form (located online at http://www.hr.ufl.edu/forms/exemption-request-form.pdf) and have it approved by the appropriate Dean, Vice President, and Senior Vice President. All exception forms should be faxed to 846-3058 prior to the initiation of a requisition.

Recently updated forms on the HRS web site |
This new section of the InfoGator for Department Administrators will highlight recently updated forms on the HRS web site. We encourage you to always check the HRS web site forms page for the most current forms rather than saving forms to your computer. HRS is in the process of updating all forms on our web site to reflect the new UF wordmark. As of August 31, 2007, staff should be using forms with the new UF wordmark only.
