Employee Exit Checklist available on HRS web site

Several steps must be fulfilled in order to complete the exit process for an employee who will be separating from the university. The Employee Exit Checklist has been updated to assist you. It is available on the HRS web site at http://www.hr.ufl.edu/forms/managers/checklist.pdf. Upon completion, the checklist should be included in the employee’s personnel file.

Graduate students must enroll for GatorGradCare by January 30

As of December 20, 3,067 graduate students have enrolled into GatorGradCare. GatorGradCare, the new health insurance for eligible graduate students, took effect on January 1. Please remind eligible graduate students to log on to www.gatorgradcare.com to complete the enrollment process before January 30, 2007.

The GatorGradCare brochure and other related information can be found online.

The university will cover the entire premium cost of the GatorGradCare plan for eligible graduate students. The plan is marketed by Student Resources and underwritten by The MEGA Life and Health Insurance Company, which was recently purchased by United Health Care. Students may also choose to cover a spouse, registered domestic partner, and/or children, but they will be responsible for paying the premium for those dependents.

Improvements made to Additional Pay actions

On December 22, improvements were implemented to address the functionality of Additional Pay actions. These changes should eliminate incorrect payments to individuals with multiple Additional Pay actions involving the same earnings code. With these changes comes a new "look" that features a sequencing of actions carried into North American Payroll Additional Pay (NA PY).

Additional Pay actions involving the same earnings code will appear in NA PY as a sequence chain. Each time a new action is entered it will be given the next sequence number, and the effective date for all actions will be updated to the latest effective date. All goal balances for previous actions will be unaffected, even though the date shown will be that of the most recent action for that earnings code.

Please note that no Additional Pay actions beyond the current pay period can be approved by Level 2. Therefore, if a future dated action is approved by Level 1, approval by Level 2 will not occur until the pay period it is effective.

Campus gives GatorJobs a thumbs-up

GatorJobs, a job-applicant tracking system launched in October to replace e-Recruit, is receiving high praise from UF staff who use it on a regular basis. A survey recently conducted by HRS’ Recruitment and Staffing office showed that 90 percent of those surveyed were satisfied with the new system.

The survey polled members of the HR Forum, a campus-wide group comprising UF faculty and staff whose jobs require them to perform a variety of HR functions. Questions ranged from the staff’s satisfaction with training delivered to the quality of customer service received from recruiters.

“We were pleased to see that GatorJobs was well received so quickly by campus,” said Donna Burdge, associate director for Recruitment and Staffing. “Our ongoing commitment is to make our hiring processes as seamless as possible, and this feedback tells us we’re headed in the right direction.”

Powered by PeopleAdmin, GatorJobs is used to post job requisitions for faculty and staff, including OPS vacancies. The new system provides several advantages for UF, including ease of posting job vacancies by department administrators (or originators), applying for jobs by interested applicants, and reviewing applications and resumes by hiring authorities.

Understanding end-of-calendar-year balances

In the leave accrual screen (available to those with the appropriate security access) under Benefits > Manage Leave Accrual > Review Accrual, the "Earned Year-To-Date" field for the accrual date of January 11, 2007, will reflect leave accrued for the 12/29/06 - 01/11/07 pay period. 

The leave that was used and adjusted during this pay period will not be posted under the "Taken Year-To-Date" or "Adjusted Year-To-Date" fields; however, these leave transactions will be reflected in the "Carried over from previous year" figure. With that in mind, the available balances are correct in the system.
