Reports and time audits available to help with performance evaluations
As supervisors are preparing performance evaluations, there are two features that will allow a department to view an employee’s leave activity within a specified time frame. These tools are the Audit Elapsed Time feature and the Reported Time and Leave by Department report.
Audit Elapsed Time
The Audit Elapsed Time feature allows a payroll processor and a supervisor to view the leave usage in detail on an employee. The navigation is Time and Labor > Review Time > Audit Elapsed Time.
After you entered the EmplID number and click “Search”, you will need to define the time frame by entering the beginning and the end date. Any time and leave that were reported through the Weekly Elapsed screen will appear by date, time reporting code, and hours.
Reported Time and Leave by Department
The “Reported Time and Leave by Department” report is a tool that is only available to those who have the UF_ER_HRPR_BEN_LEAVE security role. Typically, a department payroll processor is the one who has this role. This report will reflect the details of the leave activity of all of your employees within your department. The navigation is Enterprise Reporting > Access Reporting > Human Resources Information > Benefit Information > Leave.
To run this report, you will need to define the time frame you wish to view, your college, your department(s), and leave code(s) you wish to view. To select multiple departments and leave codes, hold down the “CTRL” key as you select each department and leave code. The report will reflect when the defined leave was used by all the employees who have ever been with the defined department during the selected time period. Please note that this only reflects leave entered via Time and Labor. Any leave that was paid through off-cycle check request will not appear on this report.
Note: These two features only reflect leave that is reported through Time and Labor. Any leave that was paid through an off-cycle check request will not appear on these reports. However, leave paid through an off-cycle check is deducted from the employee's leave balances.
If you wish to view the leave balances of your employees within your department(s), you can run the “Leave Accruals, Usage, and Balances by Pay Period, Department” report in Enterprise Reporting. The navigation is Enterprise Reporting > Access Reporting > Human Resources Information > Benefit Information > Leave.
