Despite initial appearances, end-of-year leave balances are accurate

The leave accrual screen in the myUFL system under Benefits > Manage Leave Accrual > Review Accrual—available to those with the appropriate security access—will not reflect an accurate leave balance under the “Taken Year to Date” category for employees who used leave during the 12/30/05-1/12/06 pay period because those hours will be reflected under “Unprocessed Data.” Please note that available leave balances are correct in the system.

Vacation-to-sick leave conversion reflected twice in myUFL system

Vacation leave hours exceeding the year-end maximum that were converted to sick leave will be reflected on the affected employees’ paychecks twice. Administrators who review the reports “Leave Accruals, Usage, and Balance by Pay Period, Department” and “Leave Accruals, Usage, and Balance by Employee ID” will also notice this duplication.

In the report for the accrual date of January 12, 2006, the vacation leave conversion transactions are reflected under the “Hours Adjustment Unprocessed” column; however, these adjustments are moved from “Hours Adjusted Unprocessed” to “YTD Hours Adjusted” on the pay period end date of January 26, 2006. At this time, the leave conversion process on the report will be complete.

Performance Management Initiative kicks off March 1

Many of you have attended the Performance Management information sessions, and it is almost time to take action! Supervisors should begin the appraisal process this March by using the new appraisal form, which should be returned to HRS by March 31.

ePAFs make entering personnel actions easy and more efficient

W-4 and Loyalty Oath forms change

The W-4 form has been changed on the Human Resource Services’ web site to be consistent with the official required IRS W-4 form.

Please note that only certain situations require the completion of page two of this form. In addition, the Loyalty Oath form has been changed to include the race code and gender information required for EEO reporting that was previously captured on the W-4 form. Please use these new forms, effective immediately.

 

Create static groups for easier navigation in the myUFL system

Approvers and payroll processors approve time by viewing the dynamic groups assigned to them by their security. Often, supervisors see many more employees than needed to approve time and are forced to navigate through a long list or multiple lists. To save time, approvers and processors can create a "static group"—a customized list of names from their dynamic groups. These new groups can be edited on an ongoing basis.
